Want to make sure your team never misses an important update? Tagging users in annotations is the perfect way to send them an instant email notification! You can also customise User Fields to delegate tasks and keep workflows moving—whether it's 'Inspected By' or 'Further Review Needed'. Follow these simple steps to set it up and get everyone on the same page.
Create or Update a Template with a User Field 🛠️
Before tagging users, you need a template that includes a User Field. To create a new template or add a User Field to an existing template, follow this guide: How to Use Templates Fields in Trendspek.
Sample Template with User Field:
Linking Functionality 🔗
A link icon is now available for Single Select and Multi Select fields when “Allow User Defined Values” is set to No. This icon appears next to the field configuration and enables the new linking functionality for advanced template setup. You can now create dependent fields to Single Select and Multi-Select fields, to replicate a Parent/ Child relationship.
Create an Annotation and Apply the Template ✍️
Once your template is ready, create an annotation and select the template:
Follow the steps to create an annotation: How to Create an Annotation.
When prompted, choose the template that contains the User Field.
Tag a User in the Annotation 🔖
Open the Data tab of the annotation.
Locate the template with the User Field, then search for and select the user.
Click Save to tag the user.
User Notification via Email 📩
Once the user is tagged and saved, they will receive an automatic email notification. The email includes details of the annotation, allowing them to quickly access the relevant information.
💡By following these steps, you can efficiently tag users in annotations and ensure they are notified in real time. For further assistance, contact support or refer to our Help Centre.
